FAQ: Class Entry

Will we have additional Locations added such as Urban Semester, Albany Semester, and Cornell Abroad?
Locations must be tied to (are children of) a Campus. Locations are different physical (or on-line) sites where a Campus (Main) can offer classes. CU Abroad does not offer courses per se. The student is taking courses at another institution. Are the courses offered for Urban Semester and Albany semester internships? What is the real location? Is the class offered through the main campus and taught in NYC or is there a real physical location for where these classes are administered? Please contact the STARS SR Team to help us assess if a location is needs to be added.

Is there an equivalent screen/capability to the information found on the S150L screen in SIS? (Search for course under type of section. Reason for question is the need for a list of section numbers and times.)
Curriculum Management > Schedule of Classes > Update Sections of a Class allows you to see every section of a class in a short list. This screen allows you to update class associations and enrollment limits for each of the sections.

Curriculum Management > Schedule of Classes > Schedule Class Meetings allows you to look at meeting patterns for each section of a class. If you select View All you will see the meeting patterns for each section of the class.

In the Combined Sections table, will there be a Description and Short Description naming convention set up?
Description: Description (Short Title from Course)
Short Description: Catalog Number, Component, Number if more than one section of same component Example : COMM 3520
Description (30 characters): Science Writing for Mass Media
Short Description (10 characters): 3520Lab1

When we currently cancel a class in SIS, we delete the principal course and the sub-courses are automatically deleted. How will class deletions be handled in PeopleSoft?
Each section of the class will have to be cancelled individually. This can be accomplished quickly by looking at Maintain Schedule of Classes > Enrollment Cntrl tab and view all sections and change each section class status to cancel.

There was a question regarding the need for more than 50 section numbers for Independent Study. This was discussed at a recent CRW meeting and has a resolution. What was decided?
There is a way to setup the course so that the class requires you to select an instructor for each student. We are working on this functionality to make sure it works through the system (course, class, enrollment, grading, self-service, etc.)

For First Year Writing Seminars what should be the proper naming convention?
Description (Class Title) should start with FWS: (e.g., FWS: Linked Stories); Requirement designation of FWS (First-year Writing Seminar); Equivalent Course Group of FWS.

Does the system limit students from enrolling in two sections of the same class (Taking a spot from someone else)?
For example:
Lab 1 auto enrolls in Lec 1
Lab 2 auto enrolls in Lec 2
Can the student enroll in both of these options while they makeup their minds or does the system stop this?

It is possible that this could happen. The multiple enroll flag should be used to limit the number of times a student can sign up for the same class in the same term. They will need to make sure that the Allow Multiple Enroll flag is not checked if they don’t want students to enroll in the same class twice in one semester.

Is there any security around Free Form Topic text being printed on the transcript?
No security, but the topic titles should follow the same naming convention as the Description field (Short Title). Reference the Course of Study Style manual.

Will PeopleSoft allow overlapping class times, or class times that are not established by the university official calendar?
Yes, classes can be setup outside of the University times and calendar.

What happens if you don’t meet the Minimum Enrollment number?
This will follow our current business process. PeopleSoft doesn’t automatically cancel classes if the minimum enrollment isn’t met. This process will be manual as it is in our current system.

How will meeting patterns print on the student schedule for a class that meets Tuesdays/Thursdays (TR)? Will it be TR or TT as it is on the check boxes on the Meetings page?
Self-Service will show the following values when a student searches for a class or looks at their schedule:
Monday: M
Tuesday: Tu
Wednesday: W
Thursday: Th
Friday: F
Saturday: Sa
Sunday: Su
The Data Warehouse will have multiple ways of pulling the data.
Long Description: Mon, Tue, Wed, Thu, Fri, etc.
Short description: M, T, W, R, F, etc.

Regarding Waitlist Capacity – do we need to enter a special number to tell PeopleSoft that there is unlimited Waitlist Capacity?
This can’t be left blank if you want to use the waitlist feature. Leaving the field blank is the same as entering a zero. Use 9999 for the unlimited waitlist.

Alternating year classes – how will we be handling these? (Turning off Schedule Print box?)
These will be handled very similar as we do now. Each term of classes will be rolled forward (fall to fall, spring to spring and summer to summer). The College Registrar Staff/Departments will go in to verify correct offerings, cancel classes not being offered, add classes to be offered and update meeting patterns, faculty, etc. Once the changes are made the University will publish a document similar Class Room & Time Roster. Student will be able to search on-line for available classes.

Where are class fees entered if we are not using the add fee button?
Follow current procedures for valid class fees. These can be done manually in the student financial section or in batch. Only valid class fees can be charged.

Question regarding transcript printing – other than the free form topic, is there any place to turn on/off transcript printing regarding courses/classes?
All courses/class will appear on a student’s transcript.

Will there be any more meeting pattern codes added for summer session?
Only standard University meeting patterns will appear here. Does summer not use standard meeting patterns?

What kind, if any, notification will the students receive if they have been moved from the waitlist to enrollment on a particular course?
There is no notification to the student when they are auto enrolled from the Wait List. Students will need to be reminded that they must check their schedule frequently.

When using the special Associated Class Number of 9999, the section has to be non-enrolled. How will this work when there is multiple labs/discussions available, but they are coded 9999, so the student cannot select a particular one?
When you set up a class with two lectures and two labs and the labs are associated class number of 9999 the system prompts the student or Cornell staff to select the related class. This piece will be handled through enrollment as long as the classes are setup correctly.

There is a possible issue with Meeting patterns vs. day check boxes and the meeting times not being the same.
The standard meeting times (Mtg. Start and Mtg. End) only appear when you enter the Standard Meeting Pattern. Standard Meeting Pattern should be used if the class meets at standard times. If you don’t enter the standard meeting pattern and check the checkboxes instead the Mtg. Start and Mtg. End times will not match the standard meeting patterns.

There might be an issue with how optional components are listing out in the Class Associations section of PeopleSoft. Even if a lecture and two discussion all have the same Associated Class Number of 1, and there is also a lecture section that has a different Associated Class Number of 2, when you look at the sections under the Components Tab in Adjust Class Associations, PeopleSoft assigns each Lecture a discussion, even though the Associated Class numbers of the Discussions are the same as on Lecture 1 and both should stayed linked to that lecture.
When looking at the Adjust Class Associations > Class Components page you will see all optional components that are available. This data is populated on the class component page from the course component offerings. This does not affect students enrolling in these classes as long as the class associations have been setup properly.
